Start with one property.
Build the record as you go.

The app presents a guided welcome tutorial automatically on first launch. Choose Continue to follow it, Skip to begin immediately, or reopen it later under More → Tutorial. These ten lessons provide additional instructions. Example values below are illustrative.

Step 1 of 12

Check backups and recover safely — build 8

  1. More → Backup & Restore shows the last records-backup creation and any failed attempt. Create a backup, then use Share → Save to Files to save it outside the temporary app folder.
  2. Export the Portfolio Library separately for photos, videos, documents and labels. Record synchronization is not a versioned backup.
  3. Property → Documents shows dated cloud document results. Ordinary backup does not bring back missing files. Choose Restore Missing Files from iCloud only when you want to recover cloud copies; the confirmation warns that deleted files may return.

Result: These changes are prepared in development build 8. Availability depends on the installed build. Test recovery with a copy of your records before relying on it; the current Mac App Store app is not connected.

Next: Browse, import and recover photos or videos

Step 2 of 12

Browse, import and recover photos or videos

  1. Open a property’s media to browse smaller previews. Add display names, dates and multiple tags to organize files.
  2. During a batch import, Stop Import finishes or stops after the current transfer. Retry Remaining Files retries unsuccessful or unprocessed selections without reimporting successful items. Free storage is checked before copies.
  3. Delete media into Recently Deleted for up to 30 days, or confirm permanent deletion now. Find Recently Deleted under the property or More. Original Photos-library items and separate backups are unaffected.

Result: Keep a separate copy of important media. Large transfers depend on available storage, Photos access and network availability; cleanup runs when the app opens or is active.

Next: Review your portfolio

Step 3 of 12

Review your portfolio

  1. Use the property, ownership-entity, and reporting-period filters.
  2. Review occupancy, vacant units, rent collection, mortgages, and performance. Net Operating Income is calculated and listed separately for each month.
  3. Select a Needs Attention item to open the related record.

Result: The overview shows the combined position of the records included by your filters, lists monthly operating income, expenses, and NOI, and labels missing values as Not available.

Next: Add and update a property

Properties · 6›Monthly NOI · $4,260›Needs Attention · 2›

Step 4 of 12

Add and update a property

  1. Open Properties and tap the plus button.
  2. Search for the address and review the suggested street, city, province, postal code, and country.
  3. Save what you know. Open the property later to update the editable details, tap Save when needed, and complete highlighted information.

Result: The property is saved without requiring every field, and a multi-unit building still counts as one property.

Next: Complete the property details
Add Property
Address · 1527 Leger Way›Use · Rental›Missing details · 2›

Step 5 of 12

Complete the property details

  1. Create and rename units such as Upper Level or Basement.
  2. Add ownership, purchase, mortgage, insurance, management, and recurring-cost information when known.
  3. Attach supporting pictures and documents to the property and the relevant category.

Result: The property record becomes the central place for its physical, financial, ownership, and document history.

Next: Add tenants and leases

Step 6 of 12

Add tenants and leases

  1. Open People or the property record.
  2. Choose the property and unit, then add one or more tenants. Use Set Unit Type and Count to configure units and tap a unit to rename it.
  3. Add contact details, lease dates, current rent, deposits, and supporting application or lease documents. Use the tenant’s move-out date when the tenancy ends so its history is retained.

Result: Every tenant and lease remains connected to the correct unit and property without counting the unit rent twice.

Next: Track rent and relevant alerts
Add Tenant
Unit · Upper Level›Tenants · 2›Monthly rent · $2,350›

Step 7 of 12

Track rent and relevant alerts

  1. Open Rent and choose the property, unit, tenant, and rent month.
  2. Record the full amount or a component payment. The suggested amount and date remain editable.
  3. Review Past Due and Relevant Alerts for unpaid balances or timely rent-increase reminders.

Result: The app shows exactly which month is unpaid and keeps component balances visible until the rent is complete.

Next: Record transactions and receipts
Rent Payment
Month · October 2026›Received · $1,500›Past due · $850›

Step 8 of 12

Record transactions and receipts

  1. Use quick add or More to record income and expenses.
  2. Connect rental income to its property and tenant, and keep deposits, principal, capital purchases, and shareholder transactions in their proper categories.
  3. Take a receipt picture or choose an existing image, then verify the date, amount, property, and OCR suggestions.

Result: Transactions and supporting receipts stay connected to the appropriate property and category.

Next: Organize documents and pictures

Step 9 of 12

Organize documents and pictures

  1. From Mail or Files, use Share or Open In and select Property Ledger when iOS offers it. If needed, save the attachment to Files and import it through Documents & OCR.
  2. Assign the local copy to its property, tenant, and category. Open property documents to see the categories that contain files.
  3. Use More → Unassigned Imports if you close before assigning it. To add a cover picture, open the property and choose a photo or take one; the cover can be hidden.

Result: Property and tenant files remain organized while the originals stay in their source app.

Next: Prepare an accountant package
Property Documents
Insurance · 1 file›Leases · 2 files›Unassigned · 0›

Step 10 of 12

Prepare an accountant package

  1. Open More → Accountant Export.
  2. Choose the legal owner, properties, reporting period, and whether supporting documents should be included.
  3. Review missing details and accountant-review items before creating PDF, Excel, CSV, or the optional document package.

Result: The organized package is clearly labelled Prepared for accountant review and remains a record summary rather than a filed tax return.

Step 11 of 12

Protect and recover your records

  1. Open More → App Lock to set an optional private app passcode and enable Face ID if desired. Keep the app passcode safe; the developer cannot recover it.
  2. Use Backup & Restore for structured records, with optional password protection. Export the Portfolio Library separately for pictures and documents and save both in a secure location.
  3. Use Undo Changes to review details and return to the portfolio state before one of the latest 20 saved changes. Restoring an older snapshot also reverses changes made after it.

Result: App Lock adds an optional access layer while backups and undo history provide separate recovery options.

Next: Choose whether to use iCloud
App Lock & Recovery
App passcode · On›Face ID · Optional›Undo history · 20 changes›

Step 12 of 12

Choose whether to use iCloud

  1. The app saves locally on the iPhone by default; no folder choice is needed for its structured records.
  2. Open More → iCloud Sync if you want supported structured records on compatible iPhones signed in to your Apple Account. The current Mac App Store version is not connected.
  3. Use the separate document-backup controls for pictures and imported files you want copied to private iCloud storage. An exported backup can also be saved in Files → iCloud Drive.

Result: You remain in control of whether structured records and documents stay local or use their optional iCloud features.
