Getting started
Select the main Finder folder you want Folder Steward to organize. You can change this folder later in Settings.
Use the colored drop area on a folder page for files or folders. Review & File opens separately. Check names, locations, and whether each item will be moved or copied before confirming.
Select any folder to search filenames and locally extracted document text only within that folder and its subfolders.
Open Backup on the main repository page and choose a separate location. New backups are verified automatically. Test Restore into a separate folder and open the recovered documents.
Common questions
It counts visible files currently stored in the selected repository and its subfolders, not lifetime imports. The sidebar and drop area show how many free files remain. Folders do not count; packages count as one item. Hidden metadata and symbolic links are excluded from the allowance. Remove a file to free space. A directory import must fit in full before copying starts.
Yes. Only adding more files through the app is blocked. Viewing, searching, organizing existing files, exports, backups, restore, and undo remain available. Existing large repositories and files added through Finder stay accessible.
Choose Upgrade in the sidebar, or Unlimited in Settings. The App Store supplies the price for a one-time unlimited unlock, not a subscription. After purchase, the sidebar shows Unlimited Active. Restore Purchases checks the Apple Account used for the purchase. Do not purchase again just because access has not refreshed. Apple handles payment; never send support your Apple password or card details.
Use Refresh Price and check your connection. A pending purchase awaits Apple approval; cancellation or failure does not unlock extra capacity. Refunds or revocations return to the free allowance without hiding your documents. Purchase availability depends on App Store setup and availability.
Review & File gives each file up to 20 seconds for content reading and duplicate analysis, then switches to manual review if that work has not finished. You can also choose Continue Manually sooner. Choose a filename and destination yourself, or use Retry Analysis. A manual-review file is not included in bulk recommendations, and a timeout never files it automatically. Its original is preserved by copying when you store it. Duplicate checks may be incomplete; review the destination yourself. This limit does not apply to background repository indexing or reassessment.
Yes. Accept Recommendations in Review & File offers Names and Locations, Suggested Names Only, and Suggested Locations Only. Review the proposed batch before applying it. Files still being read, duplicate warnings, and files requiring manual review are not silently included. Open another bulk review when more files are ready.
Add files from the drop area at the top of any folder page. Review & File opens in a separate window. Close Review returns to the folder page while keeping pending work for this session. Use Review or File → Review Pending Files to reopen it. Pending review is not retained after you quit the app.
Use More import options → Review One Folder’s Structure. Compare Original and Proposed, choose Use Suggestions or Keep Original, then edit names and paths or exclude files in Files & Destinations. This directory import copies the selected files and leaves the original directory unchanged.
In the ordinary Finder repository you select. Folder Steward does not place documents inside a proprietary cloud or database.
Yes. Create or rename subfolders, or drag a folder under Finder Folders onto another folder to make it a subfolder. Drop on the repository name to move it to the top level. Review the paths before selecting Move Folder. Contents move together; existing folder names are not merged or overwritten. To reverse a folder move, drag it back to its previous parent. Wait for active file operations to finish first.
Drag one file row from Files in this folder or search results onto a folder in the sidebar or folder view. Alternatively, select the file and use its Move control. Review the source and destination, then confirm Move File. Existing names are protected with a numbered filename when needed. Export checkboxes do not select a group for moving.
Choose Select All Exact Duplicates for Removal, then Review Kept / Removed Copies. The app keeps at least one copy of each exact document and displays the removal count before you confirm. Similar documents are warnings only. Removed copies go to a hidden recovery folder in the repository, not permanent deletion, and still occupy disk space. Use available individual Undo actions or Show Duplicate Recovery Folder in Finder to recover them.
Open Settings → Organization to edit the Life Documents template. Properties can use Personal, Corporate, and confirmed Sold Properties branches with street-number-and-name folders. Tenant records and tax records can be grouped by year, and bank statements by bank, account, and year. Receipts are filed according to their purpose and specific property, vehicle, or company context. Confirm ownership and sale status; do not infer them from a filename alone. Changing template settings does not rearrange existing folders by itself.
Expand Recent file actions on the main repository page or open Action & Undo History. Use the individual Undo action, or Command-Z for the newest supported action. The app retains the last 20 individual changes. Undo does not restore every kind of Finder metadata. Folder moves are reversed by moving the folder back.
Document analysis, OCR, search, and filing suggestions run locally and are not sent to the developer or a cloud AI service. Apple purchase and restore services use a network connection without receiving your documents. If you choose iCloud Drive or another synced folder, that provider may upload and synchronize its contents under its own settings. There is no Folder Steward account, advertising, or app analytics.
Yes. Select the existing directory as your repository. Folder Steward can index its files and suggest improvements, but it shows exact proposed moves for your approval before reorganizing.
It removes local indexes, extracted text, learned suggestions, saved permissions, histories, and preferences after a warning. It does not delete repository documents, exports, or backup folders.
Backup and recovery
Choose Backup on the main repository page, select protection, and save outside the repository. Not Encrypted creates a readable ZIP. Encrypted creates one password-protected .aea file, including document and catalog data. New backups are verified before completion is reported. Allow room for both the archive and temporary working files.
Choose Restore → Open as a separate restored folder. Select the backup, its protection type, the password if needed, and a restore location. A new folder is created without replacing the current repository. After recovery, open restored files to check them. This is the safest option for a recovery test.
Merge into current repository verifies the backup and previews conflicts. Exact duplicate contents are skipped even if filenames differ. For different versions, choose Keep current version, Use backup version, or Merge to keep both with a numbered Backup suffix. Merge does not combine text inside documents. Using the backup version moves the conflicting current file to Trash.
Delete current files, then load backup is optional. Review the files to move to Trash and the protected items that will stay, then type DELETE to confirm. Backups, archives, and protected items are kept. Nothing is permanently deleted by this operation, but loading can stop if storage or permissions fail. Keep a separate verified backup first.
New backups include checksums for hidden files, files inside hidden folders, and document-package contents. These backups require Folder Steward 1.81 or later to restore. Hidden files do not use the free filing allowance. This is a repository backup, not a full-system backup; permissions and system metadata are restored where macOS allows.
Older ZIP and folder backups remain supported. Verification may report limited coverage because older inventories did not include all hidden and package files. Create a new backup for the more complete checksum coverage. Use Folder Steward to restore encrypted .aea backups and older protected backups.
Previous backups remain until you explicitly choose Delete and confirm Move to Trash. A matching-backup notice does not automatically remove either copy. Folder Steward does not save your backup password and cannot recover a lost one. Choose a strong password and keep it safely outside the backup.
Yes. Choose Verify Backup from the Backup menu or the toolbar’s Repository menu. Verification checks available file sizes and saved checksums without restoring or changing repository files. A backup listing alone does not mean it has been verified.
Troubleshooting
Confirm the file still exists in Finder, then select it again. Some protected or unsupported formats may show only file information.
Run Repository Health or re-index the selected repository. Image-only documents must finish local OCR before their contents appear in search.
Reconnect external storage if needed, then choose the same repository again so macOS can refresh Folder Steward’s permission.
In Review & File, use Continue Manually or wait for the 20-second per-file limit. Review the destination and filename yourself, or retry. Background indexing and repository reassessment can take longer, especially for scanned PDFs.
Check the space estimate, keep the drive connected, and make cloud-stored source files available locally in Finder. Save outside the repository. Keep existing backups, and note the exact error before contacting support.
Folder Steward does not store backup passwords and cannot recover them. Keep a protected record of the password and a verified backup you can access.
